Email Sending Address Simplification Project

OIT is launching the Sending Email Address Project to streamline email address allocation and enhance consistency across campus communications. With this transition, all new users will receive a single @smu.edu address. This will simplify the user experience, improve system integrations, and strengthen SMU’s institutional identity. Existing users will be included in a later phase, and any service owners relying on secondary domains like @mail.smu.edu should contact the project team for support. This initiative aims to provide a unified approach to SMU Email service.

Phase One: New Users

Phase One will impact only new users as services are granted. New users will no longer receive an @mail.smu.edu address but only an @smu.edu address. Target Implementation is December 2025.

Phase Two: Changes for Existing Users

During Phase Two, all existing users will have their sending address changed to their @smu.edu address. The legacy @mail.smu.edu address will be retained for receiving messages, but the @smu.edu address will be used for sending messages.

Frequently Asked Questions

When will my sending address be changed?

The specific dates for Phase Two of the project have not yet been announced but changes will begin in Spring 2026. The changes should be in effect by summer.

I need to keep my @mail.smu.edu address as my sending address. Can I be exempted from the project?

Exemptions can be made by request. Please contact the project manager, Shanta Ball.

Will I still be able to receive messages sent to me?

Yes! We are not removing any currently assigned email addresses as part of this project.  Messages sent to you under your current email formats will continue to be received.

My sending address is currently @mail.cox.smu.edu or @lyle.smu.edu. Will that be changed too?

Yes, during Phase Two all existing users will have their @smu.edu address become their sending address. The @mail.cox and @lyle formats will continue to work. 

When will the schedule be posted?

We anticipate finalizing the scheduling for the change in late February.  We will post that information to this project site and will also provide other updates via our newsletters.
