Departmental Email Accounts

Departments and groups may request a departmental account, sometimes referred to as a "generic" account, allowing multiple people to receive and send out messages on behalf of the department or program.

Using the departmental email address is also recommended for use as the account owner's email when setting up any social media profiles.


Getting Started

Requesting a Departmental Email Account

Request a departmental account or changes to permissions via the Online Support Center.

Please Note:
 Only users with access to the account will be permitted to request changes to the account and these accounts may not be used as a generic account for temporary staff or student workers.

Editors and Authors

Each departmental account is assigned two security groups: Editors and Authors. Members of the Editors group have full permissions to the mailbox, while Authors have limited permissions.

Accessing the Account

The account can be accessed as you have permissions to the account. Once permission has been granted to a departmental account, you can access that account online at webmail.smu.edu or using an email client like Outlook or Mail. Full instructions can be found below.

Outlook for Windows

  1. Click File in the top-left corner of Outlook
  2. Click +Add Account below the account selection
  3. Enter your departmental account email address and click Connect
  4. If prompted, select Exchange as the service
  5. If asked to enter your Microsoft account, enter your SMU email address.
    (Note: School specific email addresses are not valid. Email address should be formatted as @smu.edu and not @mail.smu.edu)
  6. You will be presented with the SMU Single Sign On screen. Sign in with your SMU credentials and approve the Duo Mobile prompt or choose to enter a passcode from your Duo Mobile app on your iPhone or Android device.
  7. Select Yes, trust Browser
  8. Outlook will now sign in to your departmental SMU email account

Outlook for Mac

  1. Open Outlook
  2. Click on Outlook in the top left corner of the screen (just to the right of the Apple icon)
  3. Click on Settings (or Preferences)
  4. Select Accounts
  5. Click on the + in the bottom left corner of the window that opened
  6. Select New Account...
  7. Enter the email address
  8. Click Continue
  9. Enter SMU\ID number in the DOMAIN\username or email field, replacing ID number with your own SMU ID
  10. Enter your SMU password in the Password field
  11. Enter mail.smu.edu in the Server (optional) field
  12. Click Add Account

Other mail clients and iOS devices

Unfortunately, due to changes in security protocols, accessing departmental emails accounts on iOS is no longer an available option. Please contact the IT Help Desk if you need any assistance with configuring Outlook or Webmail for departmental account access.

On-Premises (Legacy) Departmental Account & Microsoft 365

If you have access to a departmental account that has not yet been migrated to Microsoft 365 but your personal SMU account has been migrated, you will need to log into the departmental account using the following address:

https://outlook.office.com/mail/EMAIL
(Replace EMAIL with the departmental account's e-mail address)

That will take you to the Outlook Web App login page where you can log in with your SMU ID number and password.

Please Note:
 The HTTPS prefix is required for access. Departmental accounts cannot be accessed from within Exchange Online (Microsoft 365).
