Renting Club Facilities

The SMU Faculty Club is an elegant venue for events such as business meetings, weddings, birthdays, anniversaries, Bar/Bat Mitzvahs, receptions, luncheons, and graduation parties. Faculty Club facilities are available for rent to SMU departments or divisions, Faculty Club members, and other persons whose events are sponsored and attended by a Faculty Club member.

Reservations and Inquiries

Living Room

To make or inquire about a Faculty Club reservation, call 214-768-4858.

Events occurring outside the customary SMU workday of 8:30 a.m. until 5:00 p.m. on Monday through Friday, or on SMU holidays, require the involvement of SMU Catering to coordinate access to the Faculty Club building.

Room Rental Rates

Room rental rates are below. Rates are for 4 hours or less, with a 15% surcharge for each additional hour after 4 hours. Events must conclude promptly by 11:30 p.m. Floor plans of the rentable rooms are available from the Floor Plans link at the top of this page. Please contact SMU Catering to tables and chairs for the Dining Room.

Cancellation of room reservations less than 72 hours before the event will reduce the rental fee by 50 percent, unless cancellation is due to inclement weather or other emergency affecting SMU campus operations in which case no rental fee is due.

CateringCatering

All catering at the Faculty Club must be through SMU Catering, the university’s official caterer, who can assist with all event planning needs including food and beverages, staffing, tables, chairs, linens, and flowers. Payments and Deposits

The Faculty Club accepts payment by checks and SMU account cross-charges. SMU Catering accepts checks, VISA, MasterCard, and, SMU account cross-charges. If paying by personal check, the check must be received by the Faculty Club no later than five days prior to the event.

Alcohol

University policy limits alcoholic beverages to wine, beer, and champagne, and requires service of food with alcoholic beverages. An individual licensed with the Texas Alcoholic Beverage Commission must pour and serve alcohol. Cash bars are not allowed, nor may alcohol be self-serve. Alcohol service is allowed for two hours for an event without dinner and three hours for an event with dinner. The permission of SMU’s Vice President of Student Affairs is necessary in advance of serving alcohol. SMU Catering consultants will assist you in obtaining the necessary permission.

Audio-Visual Equipment

The Dining Room is equipped with a ceiling-mounted DLP projector, DVD/VCR player and an audio system. Additional audio-visual equipment (if required) and support are available for a fee through SMU Events office. Contact SMU Events by email at media@smu.edu or at (214)768-4419. It is essential that you submit your requests to SMU Events at least a week in advance of your event. Please note that the Faculty Club does not have its own audio-visual support staff.

Parking

There is limited parking adjacent to the Faculty Club building. Contact SMU’s Park n’ Pony office at 214-768-7275 to discuss arrangements for self-service parking at the university’s Airline parking garage (see map) and valet parking. The parking garage serves SMU personnel, so parking for events is available by advance arrangement only.

Restricted Items: Decorations, Flowers, Confetti, Candles, Music, Tobacco Products, Etc.

Beverages that are red in color, such as red wine and red punch, are prohibited in order to protect furnishings.

All decorations are subject to disapproval by the Faculty Club if deemed inappropriate. Decorations may not be affixed to any wall, light fixture, ceiling, or painted surface without advance approval.

  • No candles (including votives), oil lamps, or other open flames are permitted. Helium balloons, glitter, confetti, fake snow, birdseed, etc., are not allowed.
  • The volume of music or other audio must not disrupt other Faculty Club users or neighbors.
  • Smoking is prohibited inside the Faculty Club.

EntryBuilding Capacity Limits and Other Limits on Use

The University Park fire marshal limits occupancy of the Faculty Club building to 120 people. The Faculty Club reserves the right to turn away guests if the assigned space is in danger of overcrowding.

The Faculty Club reserves the right to inspect and control all events
held at the club. The Faculty Club may shut down an event at any time. Furthermore, the Faculty Club may shut down an event for safety reasons or if the renter has misrepresented himself/herself.

Responsibility for Damage

The renter/sponsoring member assumes full responsibility for damages to the facilities. The Faculty Club will determine the damage and will accordingly charge the renter/sponsoring member for all repairs, refinishing, or replacements needed.

Faculty Club furnishings may not be removed from their assigned locations. The Faculty Club asks all guests to respect its furnishings and to participate in their preservation. Cups or other items that produce moisture should not be placed on wood surfaces.

University Holiday Closings

The SMU Faculty Club closes on the university’s official holidays listed at http://smu.edu/hr/benefits/Holidays.asp.

Taxes and Surcharges

An 8.25 percent sales tax will be levied to all applicable items charged to an event. Tax exempt groups must provide proper documentation, including a certificate of exemption, verifying their tax exempt status. If no certificate of exemption is provided, applicable sales taxes will be charged.
