Student Email Migration to Office 365

Beginning in September 2014, all student email accounts will be migrated to Office 365.  In addition to email service, students will also be licensed for the following:

  • Office WebApps
  • OneDrive (unlimited storage!)
  • Office ProPlus:  Full office suite for Mac, Windows or Mobile devices free of charge
  • Email for the life of the service (beyond graduation)

Current Status

The project team is conducting extensive testing of the various components of the migration process.  Once this is finalized, a detailed migration plan will be outlined.  More information about the process will be posted.  However, the following is a rough outline of the project:

  • Current phase: Testing and Scheduling
  • Pro Plus and One Drive Available: (August)
  • Notification to campus of scheduling details (September)
  • Migrations begin (September)
  • Migrations complete (November)

Reason for the migration

Moving student email to Office 365 provides enhanced services as mentioned above with no loss of functionality.

Project is now complete.  completed in November 2014.

Communication Campaign-

Below is a list of the communication efforts for this project:

  • January 2014—conversation with student senator about Office 365/Google possibility
  • Presentations at ITAC (student representation)
  • Three separate pilot groups migrated in advance of student migrations
  • Newsletters:
  • Ground stakes—Before the first migration week (End of August through early September)
  • Posters throughout campus buildings, including Residential Commons
  • Content in the AARO presentation to new students and in the AARO magazine
  • Information in the welcome email for all new students
  • Twitter: 54 tweets by @SMUOIT throughout migration since August 8 (This does not include all of @SMU and affiliate retweets.)
  • ITConnect blog—7 articles about using O365 starting August 26
  • Direct email to every student prior to their migration including instructions and schedule date
