International Travel

Based on the Department of State August 6, 2020 decision to lift its level 4 Global Health Advisory, SMU-sponsored international travel is no longer suspended. Travel requests may be submitted, but are subject to location specific health and safety restrictions as dictated by the Department of State, CDC, and International SOS, before approval. To submit an international travel request for review by the Travel Oversight Committee (TOC), please complete this form.  With the health and safety of our university travelers as a top priority when examining a request, approval of travel is not guaranteed due to the ongoing global pandemic. SMU Domestic Travel Guidelines

University-sanctioned travel for students for academic and extracurricular purposes will be supported to the greatest extent possible under guidance from Dallas County, state and federal authorities and infection rates at the time of travel. Resumption and expansion of domestic travel will be phased in based on guidance from the U.S. Department of State, Centers for Disease Control (CDC), and Department of Homeland Security. Any authorized University-sponsored and/or sanctioned travel by faculty and staff for a SMU business purpose requires an approved travel request in advance of making travel arrangements, and reservations must be made using the University’s Online Travel and Expense System. Please review the Travel and Entertainment Management Policy 4.7 before booking travel.

SMU is currently in Phase II as described below.

Travel Restrictions

SMU is currently restricting all University-sponsored and/or sanctioned domestic travel. Faculty and staff may request an exception by completing this form and contacting their dean, vice president, athletic director, or that supervisor’s designee for approval. Documentation of the approved exception must be attached to the travel request before supervisors can approve the travel. Exceptions should be limited to essential travel by motor vehicle only, and the risks involved should be carefully weighed. Individual departments may provide additional restrictions, guidelines, or requirements. University-sponsored travel related to official NCAA events and competitions is allowed.

All University-sponsored travel must comply with state and local regulations in place at the destination as well as along the travel route, including guidance on face coverings, mass gatherings and social distancing. Any guidance provided by other applicable governing bodies, such as the NCAA, must also be followed.

All travelers are expected to carefully assess their health prior to travel using self-screening guidelines, and should not travel if they display any symptoms of COVID-19. Travelers should document their route and locations throughout their trip in case contact tracing becomes necessary.

Please note that travel is more challenging during the current pandemic. Due to public health measures, travelers may encounter delays, interruptions and limitations moving to and from destinations.

These restrictions and guidelines are subject to change.

Travel Guidelines

Local Travel Guidelines (Motor Vehicle Day Trips)

  • All University-sponsored travel must comply with any state and local regulations in place at the destination of travel, as well as along the travel route, including guidance on face coverings, mass gatherings, and social distancing.
  • To comply with social distancing, group travel is strongly discouraged. Face face coverings should be worn when social distancing is not possible, such as in a shared motor vehicle. Avoid shared or pooled rides when possible.
  • The use of buses or vans will require additional safety measures and should be discussed with the sponsoring department and the Office of Risk Management prior to departure.
  • If driving a shared University vehicle, high touchpoints (steering wheel, gear shift, door handle, etc.) should be disinfected after use.
  • Rideshares, taxis, and limos should be avoided when possible. Shared scooters and other micro-mobility devices also should be avoided.
  • CDC and any local or state guidelines should be followed when using public transportation.

Overnight Motor Vehicle Travel Guidelines

In addition to the Local Travel Guidelines, travelers should anticipate and be prepared to meet local restrictions at their destination, which may vary significantly from the travelers' home location. Trips should be carefully planned in advance of departure.

Travelers should also be prepared for rest areas to be closed, and businesses to have reduced capacity or shortened hours of operation. Hotels should be evaluated for compliance with cleanliness and social distancing standards by travelers prior to booking.

Steps should be taken to minimize interactions with the public when possible, and social distancing should be practiced.

Air Travel Guidelines

In addition to the other guidance given, travelers should consider the following:

  • Safety protocols of airline or aircraft operators, including enforcement of social distancing and cleanliness standards.
  • Be prepared for safety protocols that may necessitate earlier arrival at the airport.
  • Be aware of the potential impact of contracting COVID-19 away from home.
