Service Event Co-Sponsorship Request Form

In order to assist student organizations and departments in the coordination of large-scale service events and programs, Leadership and Community Involvement offers the Service Event Co-Sponsorship Program. Please review these guidelines before requesting co-sponsorship for your event.  Programs that do not meet these criteria cannot be considered.

LCI Co-Sponsorship Policy

Section I: PROCEDURES.  A registered student organization or administrative office of Southern Methodist University may request to co-sponsor a program by submitting a Co-Sponsorship Proposal at least six (6) weeks prior to the program.

Section II: CRITERIA FOR APPROVAL.  All co-sponsorships shall be submitted for approval based on the following criteria:

  • The program is congruent with the purpose, goals, and objectives of the LCI.
  • Projected participation for the program is at least 50 people.
  • The co-sponsorship agreement must allow for decision-making privileges for an equal number of representatives from each of the co-sponsoring organizations.
  • No more than 50% of the planning and implementation of the program may be completed when co-sponsorship is requested.
  • Programs must be targeted and accessible to the student body of SMU.
  • The proposed activity must not conflict with a scheduled LCI-sponsored event.
  • All advertising for the event, including flyers, posters, and any other means of publicity generated by the proposing organization or department, must feature the phrase “Co-sponsored by Leadership and Community Involvement” in a prominent location on the promotional piece.
  • The proposing organization or department must agree to provide adequate staffing for the event, more than or equal to the number of staff members provided by the LCI.

Section III:  TYPES OF ASSISTANCE.  Event assistance is available in the following categories:

  • Placement: assistance with agency coordination and project planning based on the number of volunteers.
  • Publicity: assistance with advertising design and/or distribution.
  • Tools and Supplies: assistance with borrowing tools and supplies needed for service projects.

Due to financial constraints, the LCI cannot provide budgetary support for events.  However, the LCI can provide the resources of time and energy to ease the planning process.

This proposal is not a guarantee of co-sponsorship.  The proposal must be completed and submitted at least six weeks prior to the event.  All proposals will be reviewed by LCI staff.  Incomplete or late proposals will not be considered.  The program and proposal must be in compliance with the LCI Co-Sponsorship Policy.  An LCI representative will contact the organization representative once the decision has been made.
