Event Planning FAQ

Room Setup

  • Room rental includes the setup of tables and chairs. Items like stage sections, podiums, pipe and drape, etc. are an additional fee.
  • Below is a diagram of the different available set ups.

  • In the Student Center, the setups of tables and chairs are done by Hughes-Trigg staff, not by SMU Catering.

Tables

  • We provide tables in the following dimensions: 
    • 6’x18” (6’ narrow tables)
    • 6’x30” (6’ wide tables)
    • 8’x18” (8’ narrow tables)
    • 8’x30” (8’ wide tables)
    • 60” rounds (rounds of 8)
    •  30” high tops
  • When making a reservation for a reception, buffet meal or boxed lunches, please be sure to ask for catering tables.  Typically, we setup 8’ wide tables.

Linens

  • We do not provide any linens for events.  If tablecloths, table-skirts, or cloth napkins are needed, they must be rented through a caterer or decorator, or purchased at a party supply store.

Building Hours

  • Additional charges are incurred outside our regular building hours.  Generally, from August-May, we are open the following hours:  7am-12pm (Monday-Wednesday); 7am-2am (Thursday-Friday); 8am-2am (Saturday); 10am-2am (Sunday).  For complete hours, click here:  Building Hours.

Set-up/Tear Down Time

  • If you need to decorate, set-up registration, or drop off materials before the event, please be sure to include the room(s) in your reservation and additional time.  You may wish to use the Pre-Function Large and Small; however, that space is not automatically included with the reservation. 
  • When booking a banquet or other meal function, please be sure to reserve plenty of time for the caterer to set-up and tear down. 

Remember to Finalize Arrangements

  • Keep your reservation confirmation and refer to it for the details of your event.  Be sure to contact our office 7 business days in advance to finalize all arrangements.  Your charges are estimated on this document, but payment should be made from an invoice, not the confirmation.
