About IT Changes

The IT Change Management process is dedicated to providing valuable information to the SMU Community related to planned ITS maintenance, and all scheduled and unscheduled outages.

To receive the weekly alerts via email, please subscribe to the IT Changes mailing list.

Communicating Changes

All changes to the production environment (server updates, configuration changes, networking changes etc) are submitted by the responsible IT consultant to the Change Advisory Board (CAB).  The CAB reviews the changes scheduled to ensure that there are no known conflicts and to determine the appropriate type of communication to be sent.  The change is posted to the IT Change calendar and information about the change is included in a weekly email sent to anyone subscribed to the IT Changes listserve.

If a change will impact the entire campus community (for example, upgrades to the campus email servers), the CAB will authorize correspondence to be sent to the entire campus through the main email lists.

In the event of an emergency outage, the IT team will follow the procedures outlined in our Problem Notification Plan.

Maintenance Windows

IT has created change windows that IT staff must use as much as possible when planning maintenance and other changes.  These are:

If you have concerns or questions regarding scheduled changes and outages, please notify the ITS Help Desk at help@smu.edu.

Emergency Outages

Although we work diligently to provide a computing environment that is reliable and stable, emergency outages do occur.  When these events happen, the IT staff works as quickly as possible to restore functionality and provide the necessary communication regarding the outage.  Notification during outages is managed by the IT Help Desk staff and the method is determined by the severity of the outage and portion of the campus community affected. 

For outages that occur during business hours:

  • Outages will be posted on theIT Changes webpage
  • The introductory message on the help desk phone will be updated (8-4357)
  • If the outage is expected to be longer than 30 minutes, a message will be sent to the IT Outages listserve. 
  • If necessary, a campus wide email is sent to Faculty, Staff and Students.

For outages that occur after business hours:

  • Outages will be posted on theIT Changes webpage
  • If the outage is expected to be longer than 30 minutes, a message will be sent to the IT Outages listserve. 
  • If necessary, a campus wide email is sent to Faculty, Staff and Students.

Mailing Lists

The ITChanges email will be sent every Wednesday and will outline all scheduled changes and outages for the week. If you wish to receive these weekly emails, please subscribe to the itchanges listserve.
